EB Research Institute GmbH is a non-profit biotech based in Salzburg, Austria. We are a joint venture between DEBRA Austria and Salzburg University Hospital. We are a translational research and development institute dedicated to improving lives of ‘butterfly children’. The aim of our institute is to pioneer innovative approaches to treat a rare skin disease Epidermolysis bullosa 

We are looking for a Finance, HR & Admin Associate with experience in the field of Finance and HR to support the operational, financial, and human resources functions of our research-focused organization. This role is ideal for a highly organized, detail-oriented professional who thrives in dynamic scientific environments and is eager to contribute to the success of an innovative non-profit biotech.

Skills required:

Finance & Budgeting

  • Accounting: Manage day-to-day accounting tasks, including invoice processing, transaction recording, coding, and uploading into the accounting system; oversee travel expense reimbursements.

  • Treasury: Handle weekly payment runs by preparing and uploading payments and coordinating internal approvals.

  • Procurement: Oversee purchasing and approval processes for third-party services, supplies, and equipment.

  • Monitoring & Reporting: Track expenditures, prepare financial reports, and provide insights to the lab director and senior leadership.

  • Cost Control: Identify opportunities to reduce costs without compromising research quality or operational efficiency.

  • Data Analysis & Reporting: Deliver regular financial performance analyses.

  • Grant Management: Manage research grant budgets, ensuring compliance with sponsor requirements and correct allocation of funds.

Human Resources (HR)

  • Staff Recruitment & Onboarding: Coordinate the full hiring process for lab staff, including posting job ads, supporting interviews, and facilitating onboarding.

  • Training & Development: Identify training needs in collaboration with Managing Director, monitor training progress, and support professional development initiatives.

  • Performance Management: Support evaluation processes and ongoing feedback cycles to foster a culture of continuous improvement.

  • Payroll & Benefits Administration: Act as the main point of contact for employees and the external payroll provider (LeitnerLeitner).

  • Compliance: Ensure adherence to labour laws, health and safety regulations, and internal policies.

Administrative Support

  • Collaboration with Leadership: Work closely with researchers, and administrative staff to ensure effective management of financial and human resources.

  • Executive Support: Assist the Managing Director with administrative tasks, including travel planning and reimbursement processing.

  • Policy Development: Support the creation and implementation of HR and budgeting policies in line with legal and regulatory standards.

  • Project Management: Contribute to special projects as required.

 

 

Skills required:

  • Education: Business School (HAK) or a bachelor’s degree in business, finance, HR, or a related field.

  • Experience: 5–10 years in accounting, HR, and administration; experience in a biotech or pharmaceutical R&D environment is preferred.

  • Financial Management: Strong expertise in accounting, budgeting, financial analysis, and cost control.

  • HR Knowledge: Understanding of HR policies, recruitment processes, and labour law.

  • Attention to detail: High accuracy in managing budgets, payroll, and employee records.

  • Analytical Thinking: Ability to interpret financial data, identify trends, and propose solutions.

  • Communication: Excellent written and verbal communication skills for interaction with staff, management, and external partners.

  • Time management: Ability to manage multiple tasks and prioritize in a fast-paced research environment.

  • Integrity: Proven ability to handle sensitive financial and personal data with discretion.

  • Adaptability: Comfortable working in evolving environments with shifting priorities.

Location: Salzburg, Austria

Employment Type: Full-time (32-40 h/week)

Salary: We offer a minimum monthly salary of € 3,000 gross for 40 hours per week, with a willingness to pay more depending on experience and qualifications
